Tags Overview: Activities, People, and Places

How to create custom tags, why they matter and how to organize them

Written by Clayton Porter

In Existence, every Time Block can carry three kinds of Tags: Activities (what you were doing), People (who you were with), and Places (where you were).

Why Tags matter

Pillars give you the big picture: how your time splits across Work, Life, Health, and Sleep. Tags are where you go granular.

How many hours did I spend in meetings this week compared to deep work? How much time have I actually spent with my kids this month? Is the office where I do my best work, or is it the coffee shop down the street?

Tags make those answers possible.

Insights

Every Tag you apply feeds your Insights. You can see a breakdown of your time by Activity, by Person, and by Place, and filter by date range or Pillar to see how those patterns shift over time. Pair that with your Energy Ratings and you start to see which activities, people, and places consistently give you the most back.

In your AI Assistant

Your AI Assistant reads your Tags too. That means you can ask it questions in plain language and get answers grounded in your own record.

Try: "Who did I spend the most time with last month?"

Try: "How much time did I spend at the gym in September?"

The more consistently you tag, the sharper those answers get. A block without Tags still counts toward your record, but a block with Tags can tell you something.

Your three types of Tags

Activities

Activities describe what you were doing.

Every new account starts with a set of default Activities, such as Nap, Meal, Exercise, Travel, Shopping,

You can add custom Activities, as many of your own as you like. A single Time Block can have more than one Activity, so a working lunch can be both Meal and Meeting.

Examples: Emails, Morning Coffee, Date Night, Workout Cardio

People

People describe who you spent the time with. Each Person has a first name, and can optionally include a last name, a relationship (like Colleague, Friend, Family, or Client), and one or more email addresses.

Places

Places describe where you were. Examples: Home, Office, Gym, Coffee Shop. A Place needs a name and can optionally include an address.

Your Tags are private

Activities, People, and Places are for you. They never sync to Google Calendar and are never visible to anyone you invite to an event.

One note on Places: if you choose to fill in a block's location using a Place's address, that address appears in the event's location field on your calendar, which invitees can see. The Place name itself stays private.

How to add Tags to a Time Block

You can tag a block when you create it, or come back and add Tags anytime after.

  1. Open a new or existing Time Block.

  2. Find the Activities, People, and Places fields in the block.

  3. Click into the tag you want to include or add, typing in any field to search your existing Tags, then select the one you want.

    1. If there is already tags in place you will want to click on the arrow to the right

  4. Add as many Activities and People as the block calls for. Know that each block can have one Place.

  5. Save the Time Block.

Existence will also suggest Tags for you based on the block's title and your past choices. If you've tagged "Team Standup" as Meeting before, it will suggest Meeting the next time. If you title a block "Workout session," it may suggest your Gym Place. Accept a suggestion or pick something different. Every correction helps future suggestions get more accurate.

Managing your Tag library in Settings

Every Tag you create, whether from a Time Block or from Settings, lives in your Tag library. This is the place to see everything at once and keep it organized.

To get there:

  1. Click your Profile Icon.

  2. Select Settings.

  3. Select the Tag category you want to manage.

From here you can:

Add a Tag
Create new Activities, People, or Places ahead of time so they're ready when you build your week.

Edit a Tag
Rename an Activity, update a Person's details or emails, or change a Place's name or address. Your edits carry through to every Time Block that already uses that Tag, so nothing needs to be re-tagged.

Delete a Tag
Removing a Tag takes it off every Time Block it was applied to. Your Time Blocks themselves stay exactly where they are. Only the Tag is removed. You'll be asked to confirm before anything is deleted.

Applying a new Activity to your past Time Blocks

Your record doesn't start the day you create a Tag. When you create a new Activity, Existence looks back through your existing Time Blocks and finds the ones it thinks that Activity belongs on.

Here's how it works:

  1. Create a new Activity, either from a Time Block or from Settings.

  2. Existence will show you a prompt with past Time Blocks it suggests applying the new Activity to.

  3. Review the list and confirm the blocks you want tagged. Leave off any that don't fit.

If you're not ready to review them right away, you can come back later. Go to Profile Icon, then Settings, then Tags, and select the new Activity to edit it. You'll find the same suggested Time Blocks there, ready for you to confirm.

This means a new Activity isn't just useful going forward. Create "Deep Work" today, and within a few taps you can see how much deep work you've actually been doing all along.
