Tasks: A To-do List Becomes Time Blocks

Written by Clayton Porter

In Existence, your to-do list lives right inside the Time Design panel, so every task can become real, scheduled time. When a task turns into a Time Block, it stops being something you hope to get to and becomes part of how you Design your week.

Where to find Tasks on Desktop

Tasks live in the Time Design panel on the Blocks page.

  1. Go to Blocks.

  2. Open the Time Design panel by clicking the icon in the upper-left corner.

  3. Locate Tasks on the top of the panel

Note: To open Time Design from the Blocks page use the keyboard shortcut and press the D key.

How to create a Task

  1. Select Add a Task and give you task a title

  2. Choose how much time you expect it to take. Note: clicking on the three dots allows you to choose time intervals up to 2 hours.

  3. Save. Your task now appears in your list.

You can move tasks up and down the list if you want to visually prioritize to-dos

Turning a Task into a Time Block

When you’re ready to commit to a task, give it a place in your week.

  1. Drag the task onto your Blocks calendar and drop it where you want it to happen.

  2. The task becomes a Time Block, sized to the time you estimated.

  3. Review the Time Block suggested Pillar and tags to confirm they are correct.

From there, it works like any other Time Block. Adjust the timing, add your Pillar and Tags, and once it’s lived, rate your energy. The task is now part of your record.

When a Task isn't completed

It happens. A meeting runs long, the day shifts, or the task just takes a back seat. You don’t have to rebuild it.

  1. Right-click the Time Block on your calendar.

  2. Select Return to Tasks.

  3. The task goes back into your list in the Time Design panel, ready to be scheduled again.

Nothing is lost. The task simply waits for the next time you design.

Notice what keeps coming back. If the same task keeps getting returned to your list, that’s information. It might need more time than you estimated, a different spot in your day, or an honest decision about whether it matters.
